An AI receptionist for salons, on the WhatsApp your clients already use
Clients message while you're in the middle of a cut, and by the time you answer, the time they wanted is gone. Here an agent answers on your salon's WhatsApp, finds a time in your booking system and asks before it books — tap Approve and it's in. It doesn't replace your salon booking software; it books into it, as long as your software has an API the agent can reach.
The workflow
When a client messages your salon on WhatsApp, the agent checks your booking system for a time that fits, offers it and asks for your OK — then the appointment is written into your booking system and the client gets a confirmation.
- Trigger
When someone messages you
A client writes to your salon's WhatsApp number: a cut on Friday, a colour next week, Tuesday's appointment moved.
- Agent
Conversation
The agent knows your services, durations and prices from its instructions and skills, checks your booking system for times that fit, and offers one.
- Approval
Approvals
Booking, moving or cancelling waits for you: Approve or Decline on WhatsApp, between clients.
- Then
Custom MCP
Once you approve, the appointment is written into your booking system through your Custom MCP server, or into Google Calendar through its Connector, and the client gets the confirmation in the same chat.
On a schedule
Every evening, the workflow reads tomorrow's appointments from your booking system and sends each client a WhatsApp reminder from your approved template.
A reminder is the same message every time, so fixed steps send it and no agent is involved; when a client replies to move the visit, the booking agent picks up the chat, and the move still waits for your OK.

How does it book into your salon booking software?
Through your software's own API. If your booking software has one, a Custom MCP server built on it gives the agent its tools — look up open times, book, move, cancel — and each change happens only after you approve it. If you book in Google Calendar, its Connector works the same way. No salon software works out of the box: what your software's API offers decides what the agent can do.
That makes it WhatsApp appointment booking that ends in your own system, not in a second calendar you have to keep in step.
What stays in your hands?
Every booking, move and cancellation. The agent asks first; with your number under Owner numbers you answer with a tap on WhatsApp, or in the app, by email or on Slack. If nobody answers in time, the request is declined and the client is told — nothing is approved by default. Your number under Owner numbers can also reach a separate owner workflow: your own assistant, with the tools you give it, which clients can never reach.
You can start small. On a number that also runs in the WhatsApp Business app, Who the bot answers can limit the bot to the clients you list, and Bot hours to the hours you choose, while you answer everyone else yourself.
What do you need to set it up?
Your salon's WhatsApp Business number, connected in Settings → Channels. We set it up with you on the onboarding call, and check then whether the number can keep running in the WhatsApp Business app as well. Your services, durations and prices, in the agent's instructions or a skill. A booking system the agent can reach, through Google Calendar's Connector or a Custom MCP server built on your software's API. And templates Meta has approved, for the reminders and for approval requests outside WhatsApp's 24-hour window; reminders also need your booking system to share tomorrow's appointments and each client's number.
What won't it do?
It won't book, move or cancel without your OK, and there's no switch that makes it. It doesn't work with every salon system out of the box. It doesn't understand voice notes, and it doesn't hand a chat to you by itself. And it isn't always on: if your workspace has no card or reaches its ceiling, it tells clients it can't reply right now.
What does it cost to run?
neonloops bills for the time your work is actually working: the minutes the agent spends on a reply, and the reminder steps each evening. The hours a client takes to answer, and a booking waiting for your tap, cost nothing. A workspace adds a card and is priced per billable minute from the start, against a ceiling you set yourself; there's no trial. Meta bills its own fees for reminders and other templates, and some replies, to your salon's own WhatsApp Business account — never through neonloops.
