Document collection software that does the chasing for you
Collecting documents means chasing them: the payslip that never came, the ID photographed with a thumb over it, the PDF that won't open. Here an agent chases them for you on WhatsApp, where your clients already are — client onboarding documents, application papers, whatever your process needs. It asks for each one, looks at every file as it arrives, asks again for what's wrong or missing, and your process starts only when the set is complete and you've approved it.
The workflow
When a client starts an application on WhatsApp, the agent asks for each document your process needs, checks every file as it arrives and chases what's missing — and only once the set is complete and you approve it does your process start, with every file in place.
- Trigger
When someone messages you
A client writes to your WhatsApp number to start, and the agent opens a document request for the workflow that will process the files.
- Agent
Conversation
It asks for each document by name and reads every file as it arrives — the one asked for, readable, both sides — and asks again when something is off.
- Then
Secure upload link
Anything you marked Sensitive is never asked for in the chat; the client gets a private upload page and agrees before sending.
- Approval
Approvals
Once everything is in and the client confirms, you approve the request — unless you've switched on Start as soon as the customer confirms.
- Then
Workflows it can run
Your process workflow starts with every document in its place.

How does the agent check each document?
Every file is read once, the moment it arrives. The agent sees which document it looks like, whether it can be read, and what's off — blurry, cropped, glare over the text, only one side, or not the document it asked for — and asks the client again in plain words. A password-protected PDF is refused, and the agent asks for a copy without the password, never for the password itself.
It reads; it doesn't verify. It doesn't check that an ID is genuine or that it belongs to the person sending it, and an expiry date it reads is for you to confirm. For KYC, that means it gathers the papers and the checks that make it KYC stay with you.
How are sensitive documents handled?
Meta's rules don't let a business ask for ID or account numbers in a WhatsApp chat, so those never go there. Mark a field Sensitive and the agent sends a Secure upload link instead: a private page where the client agrees and uploads, valid for seven days. Only the fields you mark go this way, so decide which ones when you build the request.
What happens when a client goes quiet?
The request stays open across chats, so a client can send the payslip today and the bank statement next week. If they go quiet, reminders go out after a day, three days and a week, as a template Meta has approved, chosen under Follow-ups for documents. Without one, the request simply waits for their next message. A request stays open for 30 days unless you set it anywhere from 1 to 60.
What stays in your hands?
The start. Nothing runs until the set is complete, the client has confirmed it and you've approved it, so a stranger can't set your process going by sending files. If you trust a process enough, Start as soon as the customer confirms skips your approval for that one workflow. Every request, with each file and where it stands, is listed under Document requests in the chat's details.
What won't it do?
It doesn't verify identity or authenticity, and it doesn't decide anything about the application itself — that happens afterwards, in the workflow you built. It doesn't understand voice notes. A PDF can be up to 20 MB and 100 pages and a photo up to 7 MB, with up to ten files per document. Files that arrive through a request are kept for 90 days by default. neonloops is hosted in Helsinki, and the AI models that read the files run with providers in the US.
What does it cost to run?
neonloops bills for the time your work is actually working: the minutes the agent spends on the chat and the files, and the steps your process runs. The week a client takes to send the last payslip costs nothing, and neither does a request waiting for your approval. A workspace adds a card and is priced per billable minute from the start, against a ceiling you set yourself; there's no trial. Meta bills its own fees for reminders and other templates to your business's own WhatsApp Business account — never through neonloops.
